Student Learning Outcomes:

After completing the database assignment the student will have shown that they are able to:

Create a Microsoft Access database that includes use of the following features:

bullet

design a table using the table wizard and then use design view to add, delete or reorder fields and to modify their type or length. 

bullet

enter data and navigate in both datasheet and form view

bullet

create a form using the form wizard

bullet

understand the difference between form design and form entry and what is entered/modified with each

bullet

modify the format of forms (change field sizes, change label and field appearance: colors, borders and effects)

bullet

create a report using the wizard that groups data with subtotals

Procedure:

bullet

create a table using the table wizard and the Home Inventory from the personal database templates. 

bullet

select at a minimum "Item Name", "Item Type", "Insured", "Room", "Date Purchased", "Price Paid", "Description".

bullet

modify the design so that the "Room" is a text field and

bullet

"Insured" can hold numbers

bullet

change field names and lengths

bullet

enter one item (the rest will be entered in form view

bullet

in datasheet view use the Autoform wizard  icon to create a form

bullet

switch between form design view and   form data entry view

bullet

while in design view make some changes to field Properties  to demonstrate your ability to do so

bullet

change field sizes (some wider, some taller, some narrower, etc

bullet

change label and field appearance

bullet

 colors, borders and effects, fonts (type faces), italics, font sizes

bullet

enter a minimum of 10 real or fictional items.  Make sure several are in the same room and several has exactly the same item type (jewelry or electronics)

bullet

using the Report wizard create two reports:

bullet

grouped by "Room" with sums, averages and/or mins and maxes

bullet

the report wizard

bullet

select all the fields and then remove some, but include Room, so you have about 6 or 7 fields in the report

bullet

on 2nd screen click on Room and > to select it

bullet

on 3rd screen choose summary Options and select some

bullet

choose a report style and finish

bullet

preview the report

bullet

go to Design and modify the report column heading  so that no words are cut off and you are relatively happy with the appearance

bullet

grouped by "Item Type" with sums, averages and/or mins and maxes following above procedure except grouping by Item Type

bullet

load the Access file, which has all of the above contained within it, and whose name is something.mdb onto your briefcase and notify me via email to look at it.

bullet

print:

bullet

the entire table in datasheet view (file Page Setup for Landscape)

bullet

one form

bullet

both reports

bullet

put above 3 pages in your portfolio

 

Example- a DVD database

  1. Basically you will Design the DB
  2. Create and customize a form
  3. Enter data
  4. Create a report, Preview it, change as needed and Print

Step-by-step

bulletStart Access – mauve key
bulletNew Blank Database
bulletMeaningful name on the right
bulletClick Create
bulletClick upper left above word View on architects pencil and t-square
bulletType meaningful name in Save As box
bulletLeave ID alone
bulletType a Field name
bulletChoose a big but reasonable field size below
bulletRepeat till all fields defined
bulletFor example, a DVD table:

Field size 100 (or whatever you think is reasonable)

Genre

Field size 20 (for example comedy, drama, thriller ..etc )

bulletSave using blue disk on quick access toolbar (icon menu) on top
bulletClose table design view
bulletClick Create (2nd) ribbon
bulletClick on table name in left column
bulletClick on Form in Create ribbon
bulletClick on the form icon above the word view in the upper left hand corner of the screen
bulletStart to fill in data
bulletTo get to next record click on next or new on the bottom of the screen
bulletAnytime while form on screen, click triangle below word View on upper left and then
click Design View from drop down
bulletScreen now has dot
bulletChange name names you want in dotted area ONLY
bulletClick Property Sheet on ribbon or double click any box and then change any property (attribute) such as color. Border width, weight,  italics etc on the Format tab
bulletYou can change several fields simultaneously why shift clicking them then choosing a property
bulletOn Create ribbon choose Report Wizard
bulletUsing >> select All fields
bulletHighlight ID and send back to left using the <
bulletNext screen ,click on a field that several records have the same value by which you want them grouped and sent to right of screen with  >
bulletNext screen, If you have any numeric fields you will be able to click Summary Options
bulletChoose all Sum, Average, Min and Max (it will be easy to delete later)
bulletNext screen Choose any format but make sure you click landscape
bulletNext Screen select report style but remember that in school it’s a black and white printer and most will look less attractive some stuff may be hard to read and need to be fixed
bulletPut you name in the title and preview the report
bulletSwitch to Design View and make changes to Field sizes (remove ####) or Labels or color or font, etc. as required or desired
bulletPrint it

bullet Go to the FGCU Homepage Florida Gulf Coast has a Access 2000 tutorial that is very comprehensive - It includes making Web Pages, Macros, Styles and Tables of Contents.  Older tutorials are fine since changes with newer versions seem to be mostly in the super fancy features which CIS100 does not cover.
