Publicizing CEPAC Events

From the Faculty Cultural and Educational Programs Advisory Committee


To help publicize an event you are sponsoring you need to first create a handout or flyer that contains the salient information. Specifically:

1. Name of Event:
2. Time(s):
3. Location:
4. Costs (if any):
5. Sponsored by:
6. Person(s) to Contact for more information:
7. And a brief description.

Once you have that information, make yourself enough copies and depending upon how you want to publicize it, send copies to the following:

I. To have the information published in the "Newsletter" or Outside the college, send to: 

1. Ms. Georgia Hartnett: McDonald Hall, Cranford Campus

II. To have the information distributed to the students, send to:

1. Director of Student Activities, Cranford Campus.

(Ask that the information be posted in the appropriate places on all three campuses. It will then be put on the various bulletin boards that are available for it. If you would like larger posters created, please indicate that.)

2. UCR, Cranford Campus.
(This will ensure that the information is given out on our radio station.)

3. The Scroll, Cranford Campus
(This will ensure that the information is placed in the student newspaper, if time allows.)

III. To have the information distributed to the faculty and staff, 

1. For just your department: 

(Give your handout/flyer to your secretary and ask him or her to make copies and distribute. Specify full or part-time or both.)

2. For all faculty and/or staff: (hard copy) 

(Fill out a Print Shop Request Form, and send to the Print Shop on the Cranford Campus. It is NOT necessary to indicate the number of copies needed. However it IS necessary in the "Special Instructions" section to
indicate how you want it distributed. The Print shop will print enough copies, forward them to the mail room and ask that they be distributed. Your choices are: 

1. Full-time faculty

2. Part- time faculty 

3. Full and part-time faculty 

4. staff 

5. faculty and staff 

You can also specify just the Cranford, Elizabeth, or Plainfield campus or all three. Since some faculty and staff work on multiple campuses if you specify all full and part-time faculty and staff, then some will get your information twice. Also for your information there are some 570 faculty and 265 staff, for a total of 835 if you try to distribute to everyone. So if you are trying to save paper, limit your request.


3. For all faculty: (Via e-mail)

Type up the message you want the faculty to receive, and send it to Dr. Smith’s Executive Secretary Ms. Shelley Webb at: webb@ucc.edu 

4. For all faculty and staff: (Via e-mail)

Create an e-mail with the essential information on it, and cut and paste it onto Outlook Express, and address it to facstaff@ucc.edu
