The Graduation and Retention Committee proposes the following
process be followed when a college-wide assessment, survey, or other activity is
to be administered to students during class time or online when a class is
specifically selected for participation in the assessment.

The initiating office of the assessment will send a proposal for
administration of the assessment to the chair of the Educational Planning
Committee well in advance of the next meeting of the Committee.

The EPC will review the assessment and respond to the initiating office in a
prompt manner.

If endorsed, the chair of the EPC will forward the assessment proposal, with
the Committee’s endorsement, to the Chair of the Faculty Executive Committee
for review and inclusion on the next Faculty meeting agenda.

Once the full Faculty endorses the assessment, the initiating office can
schedule the activity and select classes for participation. The scheduling
of the activity should not begin before the endorsement of the Faculty. As
a result, in order to be sure the assessment can occur in a timely manner,
it is recommended that the initiating office begin the process of Faculty
endorsement one semester prior to the assessment's projected date.

The initiating office should include the following in its proposal:

The complete title and sponsoring organization of the assessment

The purpose and need for the assessment

A draft of the assessment itself

A timeline for endorsement, selection of classes, and completion of the
assessment

An explanation of which (if any) classes will not be included in the
assessment

Confirmation that both faculty and students will be notified that they
may opt out of the assessment if they so choose.

If the assessment is endorsed by the Faculty, the initiating office must
supply the FEC with a report (when the assessment is complete) containing

A methods section consisting of statistical demographic information: 1.
the participants, 2. materials, 3. procedures

A results section
-
A concluding discussion
-
These results will be made available by the FEC to the entire Faculty in a
meeting and electronically in a timely manner.
